Admin Assistant (HR)

Job Description

The HR & Admin Assistant is responsible for providing administrative support to the HR department. This include maintaining employee records, processing paperwork, and assisting with HR- related tasks.

Job Responsibilities

  • Provide administrative support to ensure efficient office operations
  • Answering phone calls and transferring of incoming calls
  • Assist in the daily incoming mails and distribute to respective persons
  • Schedules meetings and support visitors
  • Carries out administrative duties such as filing, typing, copying, binding, scanning
  • Organize and coordinate various corporate events
  • Monitor and replenishing of office supplies
  • Manage season parking and vehicle fleet card
  • Arrange with respective persons on renewal of vehicle road tax
  • Issuance and termination of staff access card
  • Prepare laptop and email account for new staff
  • Perform and coordinate with external IT vendor for simple troubleshooting
  • Review and posting of employees’ petty cash reimbursement claim
  • Maintain an efficient central filing system for HR and Admin Department
  • Contributes to team effort by accomplishing related results as needed
  • Any other tasks or duties assigned by the Company

Job Requirements

  • 2 years of relevant experience in HR-related field
  • GCE ‘O level or equivalent
  • Proficient in MS Office and knowledge in IT troubleshooting
  • Excellent organizational skills and able to manage multiple tasks and priorities
  • Strong attention to detail and be able to maintain accurate records and complete paperwork accurately
  • Excellent communication and interpersonal skills, with the ability to build relationships with employees at all levels of the organization
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Positive and responsible work attitude
  • 5 days’ work (Mon to Thu: 9am to 6.30pm, Fri: 9am to 6pm)
